Importing Stage Lighting Equipment from China: A Complete Guide

Many buyers worry when importing stage lighting equipment from China. Last month, Dave, a US event planner, called us. He wanted to import 100 LED moving heads for an upcoming tour. However, he was terrified of customs. He had heard horror stories of shipments being held due to missing certificates. We sat down with him and explained the process step-by-step.
Today, we want to share this guide with you. As a professional stage light manufacturer, we know that great gear is only half the battle. In addition, you will require a smooth and cooperative export procedure for your protection.

Export Procedure from China

For imports, there are various procedures that must be adhered to. The first stage is concentrating on your technical specifications.

Step 1: Lock in Your Specs with Samples

Never place a massive order without testing a sample first.Stage lights operate on different voltages worldwide. For instance, the United States operates with a voltage of 110V, while Europe uses 220V. In addition, make sure that your fixtures support the DMX512/RDM protocol. Lastly, check the physical connection, and use a good solution such as PowerCON connectors.

Step 2: Choose the Most Suitable Shipping Terms

You have to decide between the FOB and EXW contracts. According to the EXW contract, the customer has to arrange for transport from the location of the vendor. However, we advise against this type of arrangement.
We would like you to select the other option, namely FOB conditions. In this case, we take care of domestic delivery to the nearest Chinese port.

Step 3: Use Secure Packing Methods

Stage lights are highly sensitive, heavy optical instruments. Therefore, you cannot cut corners on packaging. We offer two main packaging options.
First, you can use standard cartons with thick pearl cotton. This is cost-effective for fixed installations. Second, you can choose heavy-duty flight cases. The flight case will ensure your equipment is safe while doing frequent mobile tours.

Step 4: Prepare Your Customs Papers

Documentation is essential for the effective customs clearance process for lighting products. The team provides all required papers.
We first send you the commercial invoice. Secondly, we send the packing list. Lastly, we give you the Bill of Lading. It is also important to have the right HS Code on the paperwork. For instance, the HS code used in moving heads is 9405.42. Correct coding prevents unnecessary duties.

Entering Europe: CE and RoHS Compliance

European customs officers are very strict about safety. If your goods lack correct markings, they will block the shipment.
CE marking is your mandatory passport into the European Economic Area (EEA). For stage fixtures, CE includes two critical parts. First, the LVD Directive is concerned with ensuring the safety of electrical equipment. Then, the EMC directive ensures that your lights will not interfere with the functioning of other wireless devices.
Moreover, RoHS requirements have to be met. It prevents the use of hazardous substances such as lead and mercury. RoHS compliance is especially critical if you bid for government or theatrical projects in Europe.
Always ask your supplier for real test reports. Some factories provide fake self-declarations. Therefore, we advise you to verify certificates with independent bodies like TUV or SGS.

Entering North America: UL, ETL, and FCC Compliance

The US market has its own set of rules. While US customs might not check everything, local fire marshals certainly will.

UL and ETL Standards

Federal laws do not always mandate UL or ETL listing. However, local building codes and venue insurance policies almost always do.
If a venue catches you using non-UL lights, they can cancel your show. This is a massive risk for high-power fixtures like laser lights or heavy wash lights. Therefore, look for suppliers with valid LED moving head certifications like UL 1573.

FCC Verification

The FCC regulates radio frequency interference. Stage lights contain powerful switching power supplies and high-speed motors.
These components can cause severe noise on wireless microphones or audio systems. Because of this, FCC testing is mandatory in the US. We test all our electronic drivers to meet FCC Part 15 standards.

Quick Reference: Global Safety Standards Compared

We created this simple table to help you compare the rules:
Market
Safety Certification
Environmental Rule
RF Interference Rule
Europe (EEA)
CE (LVD)
RoHS
CE (EMC)
United States
UL 1573 / ETL
RoHS (voluntary)
FCC Part 15
Canada

Why a Compliant Supplier Saves Your Business

Last year, another US buyer purchased lights from an unverified source. During a local fire inspection, the inspector demanded proof of UL compliance.
Unfortunately, the supplier could not provide the documents. Consequently, the venue shut down the entire event. The buyer faced a massive lawsuit.
This disaster could have been avoided. Working with a compliant partner keeps your investments safe. We keep all our test records transparent. So, you can confidently present them to any local inspector.
